By signing the admissions form, all parties (the student and/or their parents or guardians) agree to the following terms and conditions of Oxford College of Education Ltd, trading as Neutron Tutors. The admissions form, together with these terms and conditions, constitutes the contract between the parties.

1. General Conditions

1.1. Student Eligibility: Students must satisfy Neutron Tutors’ requirements by taking an assessment to demonstrate that their level of work and behavior meet Neutron Tutors’ standards.
1.2. Changes to Fees: Neutron Tutors reserves the right to modify tuition fees from time to time. Reasonable notice will be provided to the affected parties.
1.3. Notification Requirements: Parents must inform the office of any changes to their address, contact details, or any medical conditions affecting the student.

2. Tuition Fees

2.1. Fee Structure: Tuition fees are calculated based on an hourly rate and vary depending on the subject(s) and level(s) undertaken. Students/parents are required to pay the full tuition fee rate for all classes attended.
2.2. No Adjustments for Absences: No compensation, refunds, or fee adjustments will be provided for authorized or unauthorized absences.

3. Liability

3.1. Property Damage: Students and/or parents will be held responsible for any loss, theft, or damage to Neutron Tutors’ property caused by their child.
3.2. Limitations of Liability: Neutron Tutors does not accept responsibility or liability for:

Students outside Neutron Tutors’ premises.
Losses, damages, death, personal injuries, or consequential losses, except where these result from Neutron Tutors’ negligence or breach of duty.

4. Classes

4.1. Changes to Classes: Neutron Tutors reserves the right to alter courses, programs, tutors, dates, or cancel/change lessons as needed.

5. Cancellation and Termination

5.1. By Neutron Tutors: Neutron Tutors may cancel a student’s enrollment and reallocate their place to another applicant in cases of:

Non-payment of tuition fees.
Two weeks of unauthorized absence.
Unacceptable misconduct or breach of contract by the student or parent.
No fees or deposits will be refunded in such cases.
5.2. By Parents: If parents wish to terminate the contract, they should contact the admissions team, who will provide the necessary paperwork.

6. Force Majeure

6.1. Neutron Tutors shall not be liable for breaches of its obligations under this agreement due to causes beyond its reasonable control, including but not limited to Acts of God, war, fire, flood, explosion, or other catastrophes.

7. Disclaimer

7.1. Changes to Services: Due to business demands, Neutron Tutors may modify website content, services, products, or prices at any time without notice. Discounts may be offered, or prices may increase.
7.2. Parking: Neutron Tutors and Oxford College of Education Ltd do not provide parking facilities for parents. It is the parents’ responsibility to find secure parking for dropping off and picking up their child.
7.3. CCTV: For the safety and safeguarding of students, staff, and premises, CCTV is in operation in classrooms and other areas of the building. CCTV footage will only be provided to police, social workers, or council authorities if necessary and will not be shared with parents or other parties.
7.4. Late Pickup or Early Drop-Off:

Neutron Tutors will charge additional fees if parents do not pick up their child on time. The college will wait a maximum of 10 minutes; after this, a fee equivalent to one hour will be charged and added to the next invoice, as teachers are paid hourly and cannot wait longer for free.
Parents should not drop off their child more than 10 minutes early. If a child is dropped off more than 10 minutes early, a one-hour fee will be charged and added to the next invoice.

8. Video and Photography Consent

8.1. Purpose: Occasionally, Neutron Tutors may take photographs or videos of students for use on our website, social media, student handbooks, brochures, or other promotional materials produced by Oxford College of Education Ltd or its trade names/partners (e.g., oxfordce.co.uk, www.neutrontutors.co.uk, cpd.oxfordce.co.uk).
8.2. Data Protection: To comply with the Data Protection Act 2018, we require your permission before photographing or recording you/your child. Please indicate your preference below:

May we use your/your son’s/your daughter’s photograph/video in promotional materials (e.g., prospectus, digital marketing, social media, website)?
8.3. Conditions of Use: Personal details (e.g., address, mobile number, email) will not be included in any publications or websites. Unless you request otherwise, Oxford College of Education Ltd and Neutron Tutors retain unrestricted rights to reproduce, distribute, and publish photographs/videos in all media (print and online) for promotional and commercial purposes. No payment will be provided, and no claims can be made in this regard. To request removal of a single (not group) photo/video from the website or social media, six months’ notice is required. Materials in brochures or calendars may remain in use for up to 12 months.

9. Refunds, Compensation, and Fee Adjustments

9.1. Refund Eligibility: Refunds may be issued in exceptional circumstances, including but not limited to injury, severe illness, disability, death, or bereavement, if fees were paid in advance.
9.2. Unauthorized Absences: Absences without 24 hours’ prior notice are deemed unauthorized, and no refunds, compensation classes, or fee adjustments will be provided. Full tuition fees may still apply.
9.3. Changes to Operations: Neutron Tutors may occasionally adjust class sizes, staff, or premises, and students/parents will be informed accordingly.

10. Data Protection

10.1. Parents consent to Neutron Tutors collecting, processing, and storing personal data (including sensitive data such as medical information) in accordance with the Data Protection Act 1998, for the purposes of safeguarding students, promoting their welfare, and meeting legal obligations.
10.2. Data will not be shared with third parties unless required by law (e.g., police, HMRC, council).

11. Academic Outcomes

11.1. While Neutron Tutors aims to improve students’ skills, we do not guarantee that our tuition services will result in passing exams (e.g., 11 Plus) or gaining admission to desired schools.

12. Missed Lessons

12.1. Group Lessons/Intensives: If a student misses a lesson due to illness or family commitments, Neutron Tutors will attempt to offer a replacement lesson with another group/venue (subject to availability). Requests must be made in writing via email and WhatsApp, stating the reason for the absence. No refunds will be issued for missed lessons.
12.2. One-to-One Sessions:

Cancellation requires a minimum of 24 hours’ notice.
Clients may request to reschedule, subject to the tutor’s discretion.
If a session is canceled with less than 24 hours’ notice and cannot be rescheduled, the client will be charged the full hourly fee, and the tutor is entitled to 100% of the fee.
